Free personal trainer software can mean an ongoing free tier, a temporary trial or a spreadsheet you build yourself. Check which one is offered before moving client records. A free entry price does not establish that all the features you need are included.

A trial is not an ongoing free plan
TrueCoach pricing offered a 14-day trial without a card, and PT Distinction pricing offered a one-month trial when checked on 9 October 2026. These are time-limited offers. The free spreadsheet route

Start with a workout template, meal plan template, weekly check-in template and client tracking spreadsheet. Request the CSVs by email, open the private link and import each tab. Add formatting and review formula references before using real data. There are no shared Google Sheet copy links.
Keep a separate file for each client. Keep any multi-client roster and coach-only notes private. A hidden tab is not a confidentiality boundary. Plan where clients will receive messages, pay invoices and ask questions.
When paid software can be worth it
An app may fit when clients need integrated logging, communication or a specific delivery workflow. A paid spreadsheet system may fit when you want prepared layouts but still want to edit formulas and fields. Compare the tasks you need and the time you can maintain the setup, not just the number of features on a sales page.
